About the role

We are seeking a proactive and highly organised Training Administrator to join our Organisational Capability team in Perth. Reporting to the Specialist Projects and Support, you will play a key role in providing essential administrative and logistical support to our Perth and site-based Training teams. As the first point of contact for new starters, you will coordinate onboarding and induction activities, maintain accurate training records within the learning management system, and provide the support required to deliver training safely, efficiently and on schedule.

Success in this role requires strong organisational and prioritisation skills, exceptional attention to detail, and the ability to anticipate operational requirements and take initiative in a fast-paced environment with changing priorities.

 

Duties

  • Coordinate end-to-end onboarding and induction activities for new starters, including welcome communications, first-day support, starter packs, ID cards, travel, system access and PPE
  • Administer training data and records across the business, including processing induction documentation, awarding qualifications in the learning management system (LMS) and maintaining records
  • Provide logistical support for training delivery, including room bookings and setup, equipment, catering, travel and accommodation arrangements
  • Manage training administration requirements, including the shared inbox, purchase order requests, document management access and general office support
  • Coordinate Traditional Cultural Awareness Training invitations and attendance records, and facilitate components of the new starter program
  • Liaise and collaborate with all of HIO departments including, recruitment, operational teams, internal stakeholders and external providers to support the smooth and timely delivery of training activities
  • Maintain document control, manuals, work instructions and role processes, while identifying opportunities to improve onboarding and training administration

 

Skills and Experience

  • Prior experience in an administrative role, ideally within a training, education, mining or operational environment
  • Demonstrated experience coordinating new starter onboarding and delivering face-to-face inductions
  • Proficiency in Microsoft Office and experience using learning management systems, preferably SuccessFactors and Enable
  • Experience maintaining accurate training records, undertaking LMS data analysis and reporting, and managing document control requirements
  • Demonstrated experience planning and coordinating multiple administrative and logistical activities, including training schedules, room bookings, equipment and catering
  • Effective written and verbal communication skills, with experience liaising and collaborating with operational teams, internal stakeholders and external service providers
  • Experience supporting the development of training documentation, improving training processes and reporting on training outcomes; a Certificate II or III in Business Administration will be well regarded
