About the role:

 

We are seeking an experienced Personal Assistant to join our Sales & Marketing team based at our West Perth Headquarters. Working Monday to Friday, you will provide high-level administrative support and act as a trusted partner to senior leaders and stakeholders across the business. Reporting to the Chief Marketing Officer, you will play a key role in ensuring the smooth operation of a dynamic and fast-paced team. You will coordinate complex schedules, manage confidential information, facilitate stakeholder engagement with both internal and external international customers, and provide exceptional administrative support that enables the team to perform at its best.

 

Success in this role will require outstanding organisational skills, strong attention to detail, sound judgement, and a proactive approach to managing competing priorities. You will be a customer-focused professional who thrives in a collaborative environment, builds strong relationships at all levels, and consistently delivers a high standard of support.

 

Duties:

 

  • Provide proactive executive support, including complex diary management, email and correspondence management, travel coordination, and meeting administration.
  • Prepare and review reports, presentations, briefing papers, agendas, minutes, and other business documentation to support informed decision-making
  • Coordinate meetings, workshops, team events, functions, travel arrangements, and visitor logistics, ensuring seamless delivery and follow-through of actions.
  • Plan and coordinate the Hancock Iron Ore annual Technical Marketing conference in China.
  • Build strong relationships across the business and with external stakeholders, acting as a trusted point of contact while managing confidential information with discretion.
  • Support governance and administrative processes, including action tracking, onboarding activities, roster coordination, reporting deadlines, and continuous improvement initiatives.
  • Manage procurement and financial administration activities, including purchase orders, invoice processing, budget support, and related reporting requirements.
  • Champion a culture of safety and compliance, ensuring Health, Safety & Environment standards are incorporated into day-to-day activities.
  • Provide administrative support to the Sales Operation and Shipping teams on an ad hoc basis.

 

Skills and Experience:

 

  • Mandarin language skills and a strong understanding of Chinese culture is essential.
  • Demonstrated experience providing high-level executive support within a large and complex organisation.
  • Exceptional organisational, time management and communication skills, with the ability to manage competing priorities and deliver high-quality executive-level correspondence, reports and presentations.
  • Strong stakeholder engagement skills, with the ability to build credibility and productive relationships across all levels of the business.
  • High levels of professionalism, discretion and sound judgement when managing confidential and sensitive information.
  • Advanced proficiency in the Microsoft Office Suite, particularly Outlook, Word, Excel and PowerPoint.

 

Desirable:

 

  • Experience using ERP, document management and business systems, with SAP experience highly regarded.
  • Previous experience within mining, resources, construction or heavy industry environments will be highly regarded.
  • Certificate IV in Business Administration, or an equivalent qualification, will be highly regarded.
